1. Scope

This policy applies to personal data that Tu Do Travel Trading and Service Company Limited (Tu Do Travel) collects through the Vietnam Passport & Visa Guide website (Vietnamese and English versions): when you submit the consultation form or the contact form, and when our staff get back to you about your request.

Vietnam Passport & Visa Guide is an information website about Vietnamese passports, visa-free destinations for Vietnamese citizens and visa procedures in general. The website does not issue passports, does not submit applications for you and does not sell services online. If, after a consultation, you choose to use a visa or passport service of Tu Do Travel, the data needed for that service is handled under this policy together with the terms set out in the quote or service contract.

This policy follows the Law on Personal Data Protection No. 91/2025/QH15 (in force from 1 January 2026) and its implementing regulations.

3. Data we collect

When you submit the consultation form

  • The topic you need advice on (for example Vietnamese passports, tourist visas, study, work, family, a previously refused visa) and the country you plan to visit, if you choose one.
  • Your name, phone number, email (optional) and a convenient time to call.
  • Any question or details about your situation that you add (optional).

When you submit the contact form

  • Your name, phone number or email (at least one of the two) and your message.

Information sent with every submission

The consent box, the language of the page, the time of submission, the page or position you clicked to open the form (for example a country page in the visas by country list), and the request reference (case number) the system issues after you submit.

Documents

The website does not ask you to upload your passport, ID card or other identity documents to get advice. After you submit a form, the page shows an optional box for sending files (for example a visa refusal letter) for our staff to review; it only accepts PDF, JPG and PNG files of up to 4.5 MB each. You do not need to send identity documents through this box unless our staff ask for them.

Data we do not collect

  • Tu Do Travel does not collect payment card data. The website has no payment step; passport and visa fees are paid to the competent authorities through official channels.
  • Tu Do Travel does not collect biometric data (fingerprints, facial images) through the website.

Technical data

Your IP address and browser type when you submit a form, used to limit the number of submissions and block automated submissions (bots). When you press Submit, our hosting provider’s bot protection checks browser signals to tell people from automated programs.

Data that never leaves your browser

The self-help tools and the search page run in your browser; what you type is not sent to our servers. Your cookie choice and form drafts stay on your device only — see the cookie policy.

4. Purposes and legal basis

  • To get back to you, give advice and answer your questions; where useful, to point you to the visa website for the country you plan to visit.
  • To email you a confirmation with your case number (from visa@dulichtudo.vn, in the language of the page you used).
  • To give you a quote and provide the service, if you choose to use a visa or passport service of Tu Do Travel under a separate agreement.
  • To prevent spam, automated submissions and misuse of the website.
  • To count visits and improve the website — only if you accept analytics cookies.
  • To meet accounting and tax obligations under the law (when a service is provided).

Legal basis: your consent (the consent box at the end of each form), the service contract between you and Tu Do Travel (if any), and legal obligations. You may withdraw your consent at any time (see how to exercise your rights); withdrawal does not affect processing already carried out.

Tu Do Travel does not sell, rent or trade your personal data and does not use data you send through the forms for advertising.

5. Where data is stored and how it is protected

  • Forms pass through the website server (Vercel) to an automation system (n8n) and are then stored in the company’s Google Workspace: one Google Drive folder per request, one row in a request list on Google Sheets, an internal notification email and your confirmation email via Gmail.
  • Files you upload (if any) go straight into the folder for that request; each upload needs a one-time code the system issues when you submit the form.
  • All connections use HTTPS. The address that receives the data is protected by a secret key and never shown in the browser. The website server does not write form content to its logs.
  • Inside the company, only the staff handling your request, the accounting team (when a service is provided, limited to invoicing data) and managers reviewing quality can access it, on a need-to-know basis.

6. Who receives your data

We only share data as far as needed to do what you asked:

  • Infrastructure providers processing data on our behalf: Vercel (website hosting, bot protection), n8n (workflow automation), Google (Drive, Sheets, Gmail; Google Analytics only if you accept analytics cookies).
  • Visa-issuing authorities, foreign missions or immigration authorities — only when you use a service of Tu Do Travel under a separate agreement and within the scope of that service. When you only submit a form on the website, your data is not sent to any government body.
  • Competent authorities when there is a lawful request.

The country visa websites (see our websites) are also run by Tu Do Travel; when our staff pass your request to the team for that country, your data is still handled by the same company under this policy.

If you contact us through Zalo, Viber, WhatsApp or Messenger, that platform handles your messages under its own policy; what you send to Tu Do Travel is handled under this policy.

7. Cross-border transfers

The servers of our infrastructure providers may be located outside Vietnam. We only transfer the data needed for the stated purposes and complete the formalities for transferring personal data abroad required by Vietnamese law.

8. How long we keep data

  • Consultation and contact requests that do not become a service: form data and files sent are deleted within 180 days after the last contact.
  • Documents and data used for a service (when you use a service of Tu Do Travel): deleted within 180 days after the service ends, or as otherwise agreed in the contract.
  • Minimum data for accounting and tax (name, address, tax code, phone number on the invoice): kept for the periods required by the Law on Accounting and tax law.
  • Data in your browser: kept until you delete it; form drafts expire after 7 days.

You can ask for earlier deletion (see how to exercise your rights), except for data the law requires us to keep.

9. Your rights

Under the Law on Personal Data Protection No. 91/2025/QH15, you have the right to:

  1. Be informed about the processing of your personal data.
  2. Give or refuse consent, and withdraw consent to the processing of your personal data.
  3. Access and correct your personal data, or ask for it to be corrected.
  4. Ask for your personal data to be provided, deleted or restricted, and object to its processing.
  5. Complain, denounce, sue and claim damages in accordance with the law.
  6. Ask the competent authorities or the organisations and individuals concerned to take measures to protect your personal data in accordance with the law.

10. How to exercise your rights

Email support@dulichtudo.vn in Vietnamese or English with your name, the phone number or email you used on the form, your case number (if any) and your request (access, correction, deletion, withdrawal of consent and so on). We may ask for more information to verify your identity first. For urgent matters, call 0938 388 099 or use the contact page. Tu Do Travel replies within the time limits set by law.

11. Data of people under 18

When asking about passports or visas for children, a parent or legal guardian submits the form, provides the information and gives consent to processing in accordance with the law. People under 18 should not submit a form without the consent of a parent or guardian.

12. Data incidents and changes to this policy

Although we apply reasonable safeguards, some risks cannot be fully excluded (technical incidents at third parties, force majeure). If we discover an incident that affects your data, we will promptly notify you and the competent authorities as required by law.

When this policy changes, the date at the top of the page is updated; important changes are announced on the website. This policy has a Vietnamese and an English version; the Vietnamese version is the original.

This page is a translation of the Vietnamese original. If there is any difference between the two versions, the Vietnamese version prevails.
